UIL Schedule & Information

How long before your contest does your UIL Region Secretary send out contest schedules and information? We are a week away and NOTHING! I have school administration and parents asking for performance times to get time from work and such. I have my transportation department also needing to schedule drivers. Any suggestions on how to address this issue and not step on any toes?

In my 30 years of teaching, the UIL Executive Secretaries have always been very professional and have sent schedules in a timely manner. They are aware of the importance of getting the information out sooner rather than later.

If the schedule is not posted on the website, you haven't received it in your inbox, or it is not in your SPAM/Junk folder, check with another director in your region to see if they have received it.

FWIW, I prefer web postings or Band app postings over email. If one letter/number is wrong or the domain (.net vs. .edu) is wrong, the email won't go through, not to mention district filters.

I have many years of experiencing the same professionalism, but this has been a deteriorating issue, quite possibly in a singular region, and this year it seems to be worse than ever - to the point that some information isn’t getting out at all. In this situation, unfortunately, it is not a wrong email address or spam filter, nor is it the fault of the many band directors who have been punctual and responsible and have taken care of their end of business.

I don't know the best answer. I'm in the same boat - contest next week with no info, but I'm trying to be patient. I know there are schools in a worse spot - schools that don't even have a draft yet that go this week. I'm not saying it is right, just that I know I'm not alone. I also know that it is harder to schedule and plan the larger your school is.
I can say, in my region, I know that the sheer number of entries and schools and sites is crazy compared to most other regions, and our region secretary works diligently to avoid conflicts, so there is more to it than just putting people in order. Yes, I wish I had my schedule sooner, but barraging him with complaints would only complicate and delay things further, so patience it is.

My guess is it's already been sent out.
Check the UIL Music Region website and then email your UIL Region Secretary and ask if they can send you the schedule.

It's possible it was sent out and you are not on the email list.

You can also reach out to the host school director. In some regions they are the ones making the schedule.

It doesn’t get sent out in region 14. He post it on the web site.

Parts of that website haven't been updated (the Region Officers, for one) since 2016.

If I lived in that region, I'd be putting up a stink at region meetings to get our UIL officers to do their jobs.

You're not in our region... We go next week, and it'll be headline news if we have it by Friday.

I completely agree with those who say it should be - and for all the right reasons. It's amazing how UIL can expect absolute adherence to deadlines, but some regions refuse to give at least a first draft schedule weeks in advance.

Again, if your contest host or ExecSec isn't doing their job, CONTACT THE STATE OFFICE.

Stop just accepting this. Raise a stink until they hire someone who can actually do the job properly. Executive Secretary is a paid position. They're paid to do their job and do it on time.

Given that most regions require entries to be submitted a month prior to the contest date, it should be completed by no later than 3-4 weeks before contest.

If your UIL Region Secretary hasn't given that information out and contest is a week off, I'd be contacting state level officials. That's totally unacceptable.

But before you do so - have you checked your region website for the schedule?
