Requesting to Play a non-PML Piece

Good morning,

There's a piece that I'd absolutely LOVE to play and I think my group next year could do it. it's a great piece and it's one movement of a band symphony. I definitely think that it has musical merit.

With that said, what is the process like to apply to do this? I checked the UIL website and the "portal is currently closed."

For those who have this, what is this like? What should I be prepared to do in order to request this?

There are two ways to submit. You can submit pieces for consideration to be added to the list. It looks like that window is open in the Fall.

You can request for substitution at three different times of the year. The portal for that is currently closed, so I may be off on dates. However, I think one is sometime in summer prior to summer convention, one is prior to January 10 (they meet during MLK day), and the other is prior to February 1 (they meet during TMEA). You need to be able to submit a pdf of the score and a recording. You also need justification as to why you want to select this piece (and that needs to be more than "it will be a good fit for my ensemble.").

I've requested for substitution at least 4 times and have always been granted permission. It's a simple process.

Be aware of a few things beyond the process.

If it is a piece that has been dropped from the PML, especially recently, it won't get approved. Ran into that one when I was a baby band director. Didn't know the piece had been dropped. Dick Floyd was kind enough to call me when the application arrived to let me know that. Put it away, and by the time it got rejected we had moved on.

If it is the year after a new list came out, don't count on approval. "We just put a bunch of new stuff on. Play that."

This may have changed, but the committee meets at TMEA, so you'd better be preparing your backup in case it gets rejected. With online possibilities now, this timeline may have moved up, but still have a backup. I'm old, it has been a while since I asked for a substitution, and I really don't care what the process is now...

I have seen plenty of pieces that were taken off the Uil PML still be approved and played i.e. (Adrenaline Engines, American Civil War Fantasy, Encanto, Fire Dance)

They add new stuff annually now.

You will need to supply a pdf copy of the score, an mp3 upload, as well as a justification for why you are requesting this piece.
