Re: Cleaning things out
A few years ago we opened a new high school building and took the opportunity to go through our library and re-catalogued everything. Thinks like the four copies of 'Achy Breaky Heart' for concert band were easy to know what to pitch. Generally speaking we looked at the composer, looked at if there was ever a chance of wanting to perform it, missing parts, etc. We purged about a quarter of the concert library and a third of the marching library in the process.
There are a lot of pieces that were relevant for a year, and no one even knows what they are now. I think especially if space is an issue it's okay to cull some of that stuff from your library! Obviously triple check your admin policies that you're clear with that, but it shouldn't be a problem with a consumable like music.
