Ask to see the current bids that have been awarded. The categories you will probably be looking for are music supplies and classroom supplies. |
Awarded vendors often have a ‘catalog discount “. This is for anything in their catalog that may not have been a specific line item in the bid. The catalog discount is usually a percentage - 5% - 10% of of published catalog prices.
Music & arts, Washington music center, and other larger chains will have often have catalog bids, and the details will vary from district to district. If you are receiving a catalog from a company at your school, there is a good possibility that the company that sent it is an awarded vendor for your district.
For the three quotes you are required to get, reference the specific bid, do the math for the catalog discount, and photocopy the catalog page. Make sure it’s a current catalog, something sent this school year.
In addition to price, you can also include “Value added services” such as free shipping, or maybe they have a rep that checks in with you once a week, or if they are a local vendor that contributes to your district tax base, or provides additional services to your band like Free pick up and delivery for your instrument repairs.
Bids are usually good for 3 years. Sometimes more, sometimes less.
